This article covers the account user types on CDP’s disclosure platform, how these user types are set and how they can be changed.

Introduction

At the start of each disclosure cycle CDP sends an invitation email to nominated contacts at organizations requested to respond by stakeholders including investors, banks, and/or customers, and self-selected organizations, with relevant information and an activation link.

There are three user types, each with different permissions. User types are set for the current year only, therefore the listed contacts will not automatically be those user types the following year(s). There is no limit to the number of users that can be added to your account. 

You can check the user types of contacts for your organization, city, state or region by expanding the ‘Users’ block on your response dashboard when you sign in to your account. For more information on the different user types, how to become the Main User, add or remove users, please refer to our user guides for companies, cities, states and regions.

User types

The user types and their permissions are set out below. 

Contributor
This is the role most users will be assigned automatically. Contributors can collaborate with multiple colleagues, who can all directly access the ORS. There is no limit on the number of contributors and this type of user is suitable for a consultant, or any user within the organization who does not need to submit the response.

Contributors can: 

  • access the response(s) in the ORS 
  • enter, edit and save data 
  • import and export data in the ORS
  • generate and share a ‘read only’ link
Main User
The Main User is responsible for your organization’s response(s). There can only be one Main User per organization and year. The Main User can: 
  • access the response(s) in the ORS  
  • enter, edit and save data 
  • import and export data in the ORS 
  • generate and share a ‘read only’ link 
  • change the questionnaire pathways (for cities only)
  • opt-in or out of optional projects and initiatives (for cities, states and regions only)
  • pay the administrative fee (for corporate organizations only, the only user with this permission) 
  • submit the questionnaires (the only user with this permission)  

The Main User also controls user access rights to the ORS on behalf of the organization via the user block. If you are the main user, you can add or remove contacts for the current year. You can also change the roles of users and nominate a new main user. 

As the Main User, your contact details (name and email) will be stored in CDP’s systems for record management and shared with requesting authorities (for example for corporate organizations shared with your customers through the Supply Chain program). 

View only user
View only users can only access and view responses in the ORS. They cannot edit, contribute or submit an organization’s response. View only users can be assigned to colleagues for review or sign off purposes. They can export responses but cannot enter, save, or submit data in the ORS. There is no limit on the number of View only users.

Subsidiary contact – corporate users only
This type of user role is assigned when a parent company is responding on behalf of a subsidiary company that has also been requested to respond to CDP. Contacts from the subsidiary organization will have this user role and will be listed on the Users block, but will only be able to see the thematic blocks of the parent company. Users with this role do not have access to the ORS and cannot activate or contribute to the company’s response(s). If a subsidiary contact requires access to the ORS they can request the Main User to change their role to contributor via CDP.  


Please note that subsidiary contacts will see information in the ‘Scores and Responses’ section relating to their own company, not their parent company.  

Becoming the Main User

To become the Main User for your organization, you need to accept to be the Main User when activating your questionnaire as an organization, city, state and region. There can only be one Main User for your organization and this needs to be set every year.

If you were the Main User last year, this will reset every new disclosure cycle and you will need to accept the terms of the Main User role again when activating the questionnaire.

Please note, the Main User should generally be an employee of the organization and who will ultimately submit the questionnaire response(s) for the organization. A consultant can be given a contributor role and complete any and all parts of the questionnaire.

Changing the Main User

If there is already a Main User for your organization and this needs to be changed, the current Main User can change this via the dashboard. The Main User needs to:

  1. 1. Sign in to their account
  2. 2. Navigate to the Users block on the dashboard
  3. 3. Click on ‘Make Main User’ next to one of the other user names. This will send an email notification to the selected user and will relinquish the previous Main User’s role. The new user may need to be added as a user first by clicking ‘Add user’ in the same section.  

Subsidiary-parent organizations (corporate users only)
It is CDP’s policy that organizations should submit one consolidated response, covering all subsidiary companies, departments and/or facilities. It is not CDP policy to allow divisions to respond separately to CDP and therefore any requested for subsidiary companies will be mapped to the parent organization. 

If you are a contact for a subsidiary organization that has been requested to respond to CDP and your parent organization is also already responding, CDP will add you as a contact for your organization, and your name will appear on your parent organization’s dashboard, but you will not be able to access your parent organization’s dashboard itself. If you would like to contribute to your parent organization’s response, providing your subsidiary organization’s data and input, please contact your parent organization directly.
